Dear participants,

Please note that return journey documents “including boarding passes and bus-train tickets etc.” are very important for us to present to our National Agency for Project financial management.

After you return back your home safely, please scan your boarding passes, bus/train tickets (if any) and send them to otitrek@sakarya.edu.tr as a “.jpeg” or “.pdf” file.

After than, please send the original ones to the following mail adress by air-mail.

PAPER PREPERATION RULES FOR PROJECT ACADEMİCIANS
If you have observed the application form I sent you before, you will see that we have to prepare a project book. We will give that e-book to our students and EU.
The topics you have decided are written in that form and also in DETICE web site (www.detice.sakarya.edu.tr). Please prepare a presentation including approximately 15 pages like a paper or a book chapter. As you know one academician from your groups will present the paper. So please also prepare a ppt about your topic.
Please give in your papers until 15th January 2013 to me. Because all these papers will be combined as an e-book. This book will be given all participants and EU.
The rules for preparation for the papers are the same as book preparation rules. Writing rules are;
1- The paper should be A4 format (21 x 29.7 cm). Left, right, top and bottom margins should be 2.50 cm each.
2-Title should be 14-point, all in capital letters, and centered. If the paper is prepared in Turkish, English title should be prepared with the same format and follow the Turkish title after allowing one blank line.
3. Font size throughout the paper should be 12-point in Times New Roman, in 1,5 cm space and
justified.
4. The whole text should be written with “Times New Roman”.
5. Do not give page numbers for the paper
6. A blank line should be left after the title. Names of authors, affiliations and e-mails should be provided after the title.
7. Following the authors’ information, a 200-word abstract should be provided. The abstracts should be both in your own language and in English,  but the full paper should be in English.
8-For titles of tables, graphics and pictures, sentence case should be used.
9 Texts used in Tables, graphics and pictures should be Time New Roman. The font size can be reduced to 8 pt.
10 References should be at the end of the paper and should be listed alphabetically. References and citations within the text should be prepared in the APA format. Footnotes are not allowed. Also references should be shown in the text (surname, year).
11 Abbreviations should comply with the standard use. They should be given in full format at the first place they are used.
Please send me all the participants (both academicians and students) e-mail adresses to me and note your students that each student should bring a USB.

IMPORTANT FINANCIAL ISSUES ABOUT PROJECT APPLICATION

Project Financial Rules

Travel

-Please keep in mind that %75 of the total travel costs will be reimbursed by the project. All of the costs for travel including plane, bus, train, metro will be calculated and the total will be reimbursed by the Project. For %25 of the travel costs, each partner institution will be free to apply any method. In practice, some institutions may collect the remaining %25 from the students; or the university compensates the amount. It will be determined by your institutions’ internal policies.

-Every single journey should be documented with tickets or invoices. Please make sure that you have a document for all journeys for each participants including teachers and students.

-When you are making your local travels, please use public transportation. For example when you are coming to Sigma Olomouc to Prague, İstanbul to Sakarya, or Zaragoza to Madrid, please use buses or trains and keep all tickets for each person.

-Car hire, taxi and fuel expenses are not eligible even if they are cheaper : ( It is a National Agency rule and we cannot do anything about this. So, please do not use taxi or car hire.

-Please keep all boarding passes for teachers and students. Also we need to have an invoice or statement from travel agency or flight company stating the price of the tickets for plane. For buses, trains and metro, only tickets are enough.

-Visa costs are eligible costs for the project. If you will have to pay a visa cost for entering Turkey, please keep the document or invoice they will give you. The cost will be reimbursed on %75 basis.

Subsistence

-For subsistence costs, “a joint budget” will be applied for teachers and students. All of the facilities for accommodation, meals, places, support services and travels about the Project activities will be organized and by the Project coordinator Sakarya University. All of the expenses and costs will be paid by the coordinator. After all, a general calculation will be made with the participation of the project partners.

One important Note:

-The project partners are highly recommended to have “health insurance” for each participant including teachers and students. Please keep in mind that it is not compulsory and it is not an eligible cost for the project according to the EU rules, so we will not be able to give money for health insurance. But it is not very expensive, about 10 Euros per person. Some students or teachers may be ill in a two weeks period.
